Meeting Notes - October 2007
October 10, 2007 7:30pm – Nautica Coffee

Emily Ordorica called the meeting to order at 7:35 pm

The Officers and Committee members in attendance were:
Emily Ordorica, Patrick Brady, Nick Melchert, Bob Bertke and Bill Ludwig. Committee members not in attendance were Andrea Brady, Lisa McCoy, Robin Reynolds John Sundheimer and Jeano Towns.

The following is an outline of the topics discussed during the meeting:

Eaglewood HOA Fall Cookout-

The committee discussed the planned fall cookout and agreed that it will happen as previously discussed. There was concern over how many would actually attend – since Emily had zero responses from the note that was included on the annual dues invoice. The committee decided that the cookout would go on as planned – with the hopes of attracting neighbors the day of the cookout as it is happening. Nick Melchert advised that he would contact Emily on Monday October 15th to assist Emily and go over what will be needed for the cookout. The need for signs was discussed – Emily will make 2 signs announcing the event and put them at the North and South ends of the neighborhood. Nick will make a sign for his back yard where the cookout will be held. The details for the event are as follows:

WHO: Eaglewood Home Owners
WHAT: 1st Annual Fall Cookout
WHEN: October 21, 2007 1:00pm – 4:00pm
WHERE: Melchert’s Backyard 7364 Stonewood Court
WHY: For FUN of Course!!
HOW: Through the efforts of the Eaglewood HOA and its neighbors.
HOA to provide Hamburgers and Hot Dogs.
The cookout will be B.Y.O.B along with a dish to share.


Neighborhood Sign Lighting:

John Sundheimer was not in attendance, but he e-mailed the committee to make sure that the committee discussed the fact that the Eaglewood Sign lights are not going off during the day. He checked out the sign and believes it is in the photoelectric sensor – but is not sure how to fix it. Bob Bertke was in attendance and advised that Transtar Electric originally put in the sign and would be the best place to start in getting the problem fixed. Bob says that Dan Bollin is the owner of the company and gave Nick the telephone number to make contact. Bob advised that he would assist in making contact if needed. Nick will contact Transtar to discuss whether the problem was simple enough that it could be fixed by the association, or whether Transtar would need to come out to fix the problem.


Homeowner Tree Removal/Yard Issue:

Emily advised that she still needs to get with John Sundheimer and arrange a visit with the neighbor that removed trees from their property, to discuss his plans and the previous agreement the homeowner made with the association. Emily advised she would get with John to plan the visit.


Island Trees:

It was brought forward that the trees on the island are in need of trimming. The committee discussed possibly contacting the city to see if they are responsible for trimming the trees, and it was stated that previous calls to the city regarding trimming the island trees resulted in the city informing the association that the trees were not the responsibility of the city. Emily advised that she would get in touch with Brian Lang to get an estimate of the cost to trim the trees.


Holiday Lights:

The committee discussed when the lights would be put on the island trees. Bill Ludwig advised that he has the lights stored at his house as usual – and will plan to put them up the weekend after Thanksgiving on Friday November 23rd / Saturday November 24th, or the following weekend Friday November 30th / Saturday December 1st. Bill says to watch for him putting them up – and if you have time, he would always welcome any help. The tree lights will be clear – same as last year. Decorations for the new sign were also discussed. The plan decided upon is to use the four wreaths the association already owns – hanging them from decorative ribbon over the top of the sign on each end so that as you look at the sign, there will be a wreath on the left and right sides of the sign when entering the neighborhood from either direction.


Fall Decorations for the Island/Sign Area:

It was discussed and decided that a few fall decoration should be purchased and placed on the island area near the sign. Bill Ludwig volunteered to go to Gust Brothers greenhouse and purchase some mums, pumpkins, gourds and mini hay bales to place as fall decorations.


Watering the Landscaping:

The committee discussed whether any additional volunteers were needed to water the new island landscaping. It was decided that with the onset of cooler weather, that watering would be
discontinued for this season. There was concern brought up over the fact that old landscaping plants that were removed are re-sprouting in areas around the new sign. Emily and Patrick Brady both stated that they have both tried to use herbicides on the plants to get rid of them – but nothing seems to work. Patrick advised that he had attempted to dig up the re-spouting plants – but was not able to locate all of the roots. Emily advised that she would discuss the problem with Brian Lang and see what he suggests to get rid of the re-sprouting plants.


Meeting adjourned approximately 8:30pm.
