Emily Ordorica – Eaglewood Homeowners Association President called the meeting at Nautica Coffee to order at approximately 7:44 pm.


The Officers and Committee members in attendance were:
Emily Ordorica, Patrick Brady, Andrea Brady, Robin Reynolds , John Sundheimer and Nick Melchert. Committee members not in attendance were , Bob Bertke, Bill Ludwig, Lisa McCoy, Bill Ruff and Jeano Towns.

The following is an outline of items that were discussed during the meeting.

PROBLEMS DEALING WITH HARMON SIGN:

Emily reviewed the problems encountered while dealing with Harmon Sign Company.

1. The estimated timeline given by Harmon Sign throughout the planning process for the new sign was four weeks from the date of order. The order was placed during the first week of May – the four week timeline would have placed the installation date for the sign on a day the first week of June. The sign was not installed until June 28th.
2. Upon installation on June 28th it was discovered that the graphic for the eagle was incorrect. Harmon Sign did not use the final graphic submitted – with a slightly smaller eagle that included the eagles talons.
3. Emily advised that Bob Bertke talked to Scott Brady from Harmon Sign shortly after the sign was installed. Bob was informed by Scott Brady that a corrected graphic “insert” would be installed the week of July 2nd. Presently, the corrected graphic has still not been installed.

Emily proposed pursuing a discount on the balance owed for the sign due to the various problems encountered. Committee members in attendance agreed that a discount should be sought. It was further discussed that the association should delay approaching Harmon Sign about a discount until after the corrected graphic has been installed on the sign. Emily advised that she has no problem calling Harmon Sign and speaking with someone in a position above Scott Brady regarding the problems and a possible discount. She further advised that before she does so, that given Bob Bertke’s relationship with Scott Brady, she will call Bob and ask him if he will assist in this matter.

Emily advised that payment for the approximately $3,000.00 balance owed on the sign will be withheld until the sign is satisfactorily completed and any discount agreement worked out with Harmon Sign.


COMPENSATION FOR THE LANDSCAPER – BRIAN LANG:

The association committee members discussed compensating Emily’s brother - Brian Lang for his efforts in creating and installing the landscaping design for the new sign. During previous meetings Emily had mentioned that Brian Lang was not going to charge the association for the landscaping project – other than the cost for the plants. The committee had previously discussed and agreed that the landscaper should be compensated – even though both he and Emily have stated that he is charging nothing for his services. The committee considered the approximate time spent in designing the project, as well as time spent purchasing and installing the landscaping materials – coming up with a minimum of 12-15 hours of Brian’s time dedicated to the project. A figure of $300 was agreed upon as compensation for his time and effort. Note: Emily provided a financial report on the breakdown of expenses for the landscaping plants – totaling $521.00, adding in $300.00 for the landscaper the total expenses for landscaping project were $821.00.


INSURANCE POLICY:

Emily brought forward the issue of insurance for the new sign. Costs of insuring the new sign were discussed in previous meetings after Emily had obtained several different quotes. Emily advised that the insurance policy was approximately $289.00 per year. The committee had tabled the decision to put the insurance in place until after the sign was installed. Committee members in attendance agreed that the policy should be put in place as soon as possible. The policy will cover damages up to replacement cost for the sign which will also include a general liability policy to cover the Eaglewood Homeowners Association. Emily will contact the insurance company right away to put the policy in place.


WATERING VOLUNTEERS SCHEDULE:

A discussion for the need to come up with a schedule for volunteers to water the new plants in the island was brought forward. Since the landscaping was completed, Emily has been doing daily watering of the plants. She was recently relieved from doing the watering by Andrea Brady. Pat Brady agreed to work on obtaining volunteers and put together a schedule. Several committee members in attendance volunteered a week each to do the watering. Emily passed a list of individuals whom stated previously that they were willing to help with maintaining the islands landscaping. Pat will contact those individuals for their assistance. It was also discussed and agreed upon that an enclosed hose reel box should be purchased by the association and kept on the island next to the faucet. This will make the job of the watering volunteers a lot less of a hassle due to not having to drag a hose reel to the island each day that watering is required. Emily stated that she will purchase the hose reel for the association.

During the discussion for watering volunteers a concern developed regarding the ability to obtain an adequate number of volunteers – outside of the association officers and active committee members. It was discussed that should there not be enough homeowners willing to volunteer and actually follow through with watering the island landscaping regularly, an automatic sprinkling system should be investigated. Emily advised that she will contact a lawn irrigation company to get an idea of how much a sprinkler system would cost.


NEW NEIGHBORS:

Emily advised that she welcomed new neighbors to the neighborhood with a Welcome Packet on July 9th. The new neighbors are Glen and Tracy Jackowski at 7371 Grenlock. It was also brought to Emily’s attention that there are new neighbors in the former Woodruff’s residence at 5919 Eaglewood, Emily advised she will deliver a Welcome Packet to the new owners (Listed in AEREIS as Kyoung and Hyun Lee).


WATER FAUCET:

Robin Reynolds was present at the meeting and attended to reimbursing some expenses to several committee members. Among the expenses paid was reimbursement to John Sundheimer for the replacement faucet on the islands. Also paid out was a check for $300.00 to Brian Lang for the landscaping. After writing checks for all currently due association expenses and including deduction for the approximately $3000,00 owed to Harmon sign, Robin advised that the available balance in the association account as approximately $1,400.00.





NEWLETTER: Nick advised that the bi-yearly newsletter will be put out this month and asked
the committee for ideas on what to include. The following items were brought up for inclusion in the newsletter.

Emily Ordorica – Eaglewood Homeowners Association President called the meeting at Nautica Coffee to order at approximately 7:30 pm.


The Officers and Committee members in attendance were:

The following is an outline of items that were discussed during the meeting.

Water Faucet:

John Sundheimer reported on the replacement of the water faucet in the island area. The first week in June, a water leak undergound around the water faucet in the island was discovered by Emily. Emily contacted John Sundheimer – whom had previously helped replace the water standpipe about ten years prior. John dug a hole around the existing standpipe along with help from Jim Brazeau, Nick Melchert and Brad Towns. It was discovered that there was a hole approximately 2 inches long rusted through the standpipe – about 4 feet under ground. John went to several different plumbing supply and home centers to locate and purchase the parts needed to replace the standpipe and faucet. John has the receipts for the items purchased and will turn them in to Robin Reynolds for re-imbursement.


SIGN DELAY:

Emily informed the committee that Harmon Signs had recently advised her due to production problems at the plant where the sign is being manufactured, the sign installation will be delayed until the last week in June. The committee discussed that this installation date was the latest that the sign could be installed and still allow time for completion of the landscaping project before targeted deadline for completion by the beginning of the Jamie Farr Golf tournament.

LANDSCAPING PROJECT:

The landscaping project was discussed with regard to the delay in sign installation. Emily advised that we will need to coordinate the landscaping completion once she gets an update from Harmon Sign company regarding actual delivery date for the sign. Emily advised she will contact Scott from Harman sign to try and get a projected delivery/installation date. Emily also advised that the plants for landscaping will be purchased through the Andersons, and that she may be able to work out a 10% discount. The ordering for the landscaping mulch will also be done by Emily – she plans to purchase a load for the islands along with some for her yard and split the delivery fee with the association which will end up saving the HOA money on the delivery charge.

INSURANCE:

The insurance policy for the sign was discussed briefly. It was decided to wait until the next meeting in July – after the sign is installed to finalize plans to put the insurance policy on the sign in place.

The meeting was called to order at 7:45pm
Emily Ordorica passed out the meeting agenda, containing items to be addressed regarding completion of the new Eaglewood sign and landscaping.

The Officers and Committee members in attendance were:
Emily Ordorica, Nick Melchert, Bill Ludwig, Jeano Towns, Bob Bertke and Lisa McCoy. Committee members not in attendance, John Sundheimer, Robin Reynolds, Bill Ruff, and Patrick and Andrea Brady.

The following is an outline of items that were discussed during the meeting.

EAGLEWOOD SIGN UPDATE:
Emily advised that the new Eaglewood sign was ordered on May 1st. A contract was signed and a check was drafted for the deposit on the order. The final design that was submitted is copied below. The design includes minor changes to the sign that were made to make the eagle slightly smaller and add talons to the eagle that were missing in previous designs. Also, the white accent stripe around the tan/taupe eagle background color was made slightly wider.




TIMELINE FOR INSTALLATION: Four weeks – which should be around June 1st.

LANDSCAPING:
Emily suggested a start date for beginning removal of the existing landscaping around Sunday May 20th. A flyer will be put together and sent to those people on the sign-up sheet from the February meeting. Emily further stated that her brother whom will be doing the landscaping is not charging anything for his services on the project – he advised that the $500 budgeted for the landscaping is to be used for materials. It was suggested by several committee members that he should be compensated for his services if any surplus funds are left over from the sign fees that were collected. Nick Melchert advised Emily that he would be available during the last week of May from the 25 – 28 to assist the landscaper with any labor needed for the project.




LAWN SERVICE:
Bill Ludwig advised that he had contacted Land Art and Tru-Green Chem Lawn and obtained quotes for lawn care service for the islands. Land Art was $29 per application and Tru-Green was $38 per application. Bill recommended and the committee agreed that the association will move forward with the lower quote. Bill will be forwarding the association billing information to Land Art for 3 applications per year – Spring/Summer/Fall.

MISCELLANEOUS:
A summer event such as an Eaglewood 20 Year Celebration was brought up for discussion. The committee briefly discussed the event. It was decided to table the discussion until the next meeting in June, when the sign project would be completed and the committee could focus on and plan a possible summer event.

The following is an outline of items that were discussed during the meeting.

UNPAID SIGN FEES:

Robin Reynolds supplied the committee with copies of the neighborhood list of homeowners. The list shows the payment status of the sign fee for each homeowner. As of the meeting date, the list reflected that there were 6 unpaid homeowners and two vacant houses. Through discussion it was discovered that one of the homes listed as vacant – 6033 Eaglewood was actually occupied by Ryan Beat. Further discussion of some of the unpaid homeowners resulted in finalizing a list of 9 homeowners – including homeowners of unoccupied homes that will be sent a final reminder letter with an April 12th deadline for payment. Patrick Brady advised from his knowledge of the real estate industry, that any uncollected fees from unoccupied homes currently for sale, could ultimately be collected as an outstanding debt from the homeowner at closing.

Nick Melchert provided Emily Ordorica a draft of the final reminder letter to be sent to the unpaid homeowners. Emily and each of the committee members present reviewed the letter. All in attendance agreed the letter was acceptable, and should be updated to include all nine remaining unpaid homeowners. (Note: The letter was updated and mailed out April 5th.)


LAWN SERVICE:

Emily brought forward that we should consider changing the lawn service that fertilizes the island areas. It was discussed among the committee members and decided that another service be given a chance to bid to supply this service to the HOA. Bill Ludwig volunteered to contact the service he uses – Tru Green and ask them for a quote. If the quote is competitive, the committee agreed the service should be changed. Emily advised that the current company would be contacted to cancel their service – before they apply the first application.

The mowing service provider was brought up for discussion, and it was decided that his costs seem very reasonable, and that the HOA would continue to use his services.

FINAL PAINT DESIGN FOR THE NEW EAGLEWOOD SIGN:

Emily supplied the committee with printouts of some new paint design and color options that she had Harmon Sign work up. John Sundheimer also displayed them on his laptop computer for everyone to review. The new designs were looked over and everyone leaned toward the sign above. One of the committee members suggested possibly making the spread wing eagle be made slightly smaller. Another suggested making the white accent stripe a little wider around the tan/taupe background of the eagle. Finally, another committee member suggested adding the tan/taupe background color underneath the EAGLEWOOD as an accent (as was done in some of the other design options). The committee took one of the printouts and did a cut and paste job of the tan/taupe accent stripe form one of the other design layouts and taped in place where it would be on the sign for everyone to review. Everyone in attendance agreed the eagle should be made slightly smaller, the white accent stripe around the tan/taupe eagle background should be slightly wider, and that tan/taupe accent stripe should be included in the final paint design. Emily will be contacting Harmon Sign to make the final changes. Emily suggested another meeting for final approval once the design was changed, everyone in attendance stated that another meeting was not necessary, and that they were all in agreement that once the design was changed, that Emily should place the order for the sign.

The meeting was adjourned at approximately 8:40pm. Next meeting May 9th, unless another is called regarding the sign project before the next meeting.

Agenda for Meeting
March 14, 2007

Emily Ordorica – Eaglewood Homeowners Association President called the meeting at Nautica Coffee to order at approximately 7:45 pm.


The Officers and Committee members in attendance were:
Emily Ordorica, Patrick Brady, Bob Bertke, Nick Melchert, Robin Reynolds and John Sundheimer. Committee members not in attendance, Bill Ludwig, Bill Ruff, Jeano Towns and Lisa McCoy.


The following Outline of items were all brought forward by Emily and discussed during the meeting. The results of the discussions are typed in italics within or directly following each section.

1. Collection for Sign Replacement Project
Emily reported that Robin Reynolds has received $1500.00 toward the sign project to date. Robin stated that this figure did not include two more households that she received checks from today. Robin provided a financial summary statement outlining the association dues, sign fees, association expenses and total account balance on the ledger to date for inclusion in the meeting records. The committee members present were pleased with the progress in collections of fees for the sign replacement project. It was further discussed that with only two weeks left until the target date of April 1 to have all the dues collected, that a reminder note should be sent out to those homeowners that have not paid their sign replacement fee.

- Nick Melchert will draft a reminder letter and send it out to
each of the homeowners that have not paid. The letter will
include wording indicating that the committee will be
contacting them via telephone or at their doorstep during
the final week of March if their fee remains uncollected.
This is to be done as soon as possible in order to try and
meet the April 1 target date.

- Nick will also draft a reminder letter to the 4-5
homeowners that have not paid their September 2006
association dues. This will also be done as soon as
possible.

2. Discuss and decide on colors for the sign. Finalize design.
There was a unanimous consensus among the committee members present that the background color for the Eaglewood Sign should be one of the burgundy shades shown in the designs provided by Harmon Sign. The committee discussed several options for the lettering and the eagle design that will be incorporated in the sign. Emily had photocopies of the sign and made notes on several different copies with color options discussed during the meeting. Harmon sign will be contacted to produce new printouts showing the sign with burgundy background and lettering in either an off-white color (matching the sign structure color) or gold lettering. It was also decided that a copy should also be produced with a black background and gold lettering for comparison and consideration. Some possible color options for the eagle were discussed, with committee members leaning toward a gold color eagle, with possibly a different color inside the ring that circles the eagle. It was discussed that Harmon sign should provide some creative coloring ideas for the eagle design as well so the color options can be finalized during the April meeting.
3. Date to start sign installation

The committee discussed when the sign installation should be started. A review of previous meeting notes indicated that Scott from Harmon Sign had discussed a total turnaround time from the order date to completing the project would be approximately one month. Further review of the notes indicated that the landscaper suggested plantings for the re-landscaping be done as early as possible in May in order to give the plants their best chance to grow successfully this summer.

Considering the above, it was decided that the sign should be
ordered by April 15th, projecting a completion date around May 15th, so that landscaping can begin in early to mid May.


4. Discuss the idea of posting a sign thanking the neighborhood
for voting for the new sign.

Emily advised that she and Nick had previously talked about putting out a sign or signs thanking the Eaglewood community for voting for the sign project. Emily asked Pat Brady if Andrea Brady would be willing to make two thank you signs – Pat indicated that he would “volunteer” her. One of the signs will be posted near the neighborhood entrance on the islands and the other at the north end in the McCoy’s yard.

5. Discuss the idea of posting a “thermometer” sign to
report the progress in collecting the sign fees and for later use when collecting association dues.

Emily advised that she and Nick had also previously talked about putting out a “thermometer” type of sign to show the progress toward collecting the sign fees. The sign would serve the purpose of reminding and motivating those homeowners that have not paid their dues. Nick will look into making the sign and getting it posted as soon as possible in conjunction with the mailing of the reminder letters.

6. Nick Melchert and Patrick Brady have started blogs to
discuss Eaglewood News.
Emily announced that both Nick Melchert and Patrick Brady had put together web logs to announce Eaglewood news and support the neighborhood association.

Nick’s blog presently contains postings of the Eaglewood Newsletters. As the blog is developed, it may include additional news and happenings. Neighbors are able to post comments on the blog, which can be accessed at:

Emily wanted to thank everyone that helped take the island Christmas lights down. John Sundheimer stated that Bill Ludwig took them all down himself Saturday March 10th. A big thanks to Bill Ludwig!
