Meeting Notes - November 2007
November 14, 2007 7:30pm – Nautica Coffee

Emily Ordorica – Eaglewood Homeowners Association President called the meeting to order at 7:35 pm.

The Officers and Committee members in attendance were:
Emily Ordorica, Patrick Brady, Robin Reynolds, John Sundheimer, and Nick Melchert. Committee members not in attendance were Bob Bertke, Andrea Brady, Bill Ludwig, Lisa McCoy, Bill Ruff and Jeano Towns.

THE MINUTES FROM THE MEETING FOLLOWING BELOW:


SIGN LIGHTS: Emily advised that the lights on the sign were fixed by Nick Melchert. Nick advised that the photo electric eye that turns the lights off during the day went bad and had to be replaced. The part was purchased at Gross Electric for approximately $12.

HOMOWNER WITH UNFINISHED TREE/STUMP REMOVAL: Emily advised that she and John Sundheimer went to the residence of the homeowners with uncompleted yard work to inquire when the work would be completed. Emily advised that the meeting was very positive, with the homeowners stating their own concerns over the appearance of their yard due to the uncompleted tree/stump removal. The homeowners stated that due to medical reasons, they have been delayed in completing the work. The homeowners plan to complete the work in the spring, including the installation of a fence as previously discussed with the association.

TREE TRIMMING: Emily advised that she had spoken with her brother – Brian Lang to get an idea of what he would charge to trim the trees in the boulevard islands. He gave an estimate of $50 for each of two smaller trees closest to the neighorhood sign, and $75 for each of the larger trees. Emily also advised that according to Brian, the type of trees in the island are a variety of Flowering Pear that continue to grow larger throughout their life – and that pruning them back would be wise since they are prone to large branches breaking when loaded with snow or in high winds. The committee discussed, and calculated an approximate total cost of $700 for all ten trees. Emily advised that she plans to get quotes from a couple more tree services in early spring for comparison. The tree trimming would take place in the spring after discussion and final approval by the committee.

PLANTS RESROUTING AROUND NEW SIGN: Emily also spoke with Brian Lang about the re-sprouting of old landscaping plants around the island sign. Brian looked at the re-sprouting plants and advised that he is not sure what type of plant it is, but suggested spraying concentrated Round-Up on them to see if it takes care of them. Emily advised that she had done so a couple of weeks ago and it seems to be working.


TREASURER REPORT: Robin Reynolds - the HOA treasurer, gave a report on the finances of the HOA. An updated Financial Statement was presented to the committee members present for review. Robin’s report indicated that there are 20 homeowners with unpaid 2007-2008 HOA dues. The balance in the HOA account at the time of the meeting stands at $1886.66. The committee discussed that a reminder note should be sent out to those homeowners that have not paid their dues. Emily advised that she will follow up on the unpaid dues.



FALL DECORATIONS: Emily advised that Bill Ludwig had decorated the island near the sign with some fall decorations. Mini hay bales, mums, pumpkins and some gourds were placed at the entrance end of the island – they look great Bill!!

SPRING ACTIVITY: Emily advised that she would like to hold a spring activity for the neighborhood. The event would include an Easter Egg Hunt for the children, possibly coordinated with a “Spring Fling” cookout. Emily stated she will plan to put together the Easter Egg hunt, and it was decided that the committee will discuss the Spring Event along with a Fall Pig Roast during the first meeting of 2008. Also discussed was the possibility of going Christmas Caroling throughout the neighborhood in early December. Emily will call the committee members to coordinate when the caroling will take place.

IRRIGATION SYSTEM: Emily advised that she plans to contact the irrigation companies that had previously given quotes toward the end of winter. Emily will request more detailed quotes of specifically what their work would include.


OTHER BUSINESS: The committee decided that the next meeting will be held in February. The committee will discuss plans for 2008 including the spring activity, installation of an irrigation system, trimming the island trees and a fall pig roast. January newsletter to include the plans for the year noted above, along with an unpaid dues reminder.
