Agenda for Meeting
March 14, 2007
Emily Ordorica – Eaglewood Homeowners Association President called the meeting at Nautica Coffee to order at approximately 7:45 pm.
The Officers and Committee members in attendance were:
Emily Ordorica, Patrick Brady, Bob Bertke, Nick Melchert, Robin Reynolds and John Sundheimer. Committee members not in attendance, Bill Ludwig, Bill Ruff, Jeano Towns and Lisa McCoy.
The following Outline of items were all brought forward by Emily and discussed during the meeting. The results of the discussions are typed in italics within or directly following each section.
1. Collection for Sign Replacement Project
Emily reported that Robin Reynolds has received $1500.00 toward the sign project to date. Robin stated that this figure did not include two more households that she received checks from today. Robin provided a financial summary statement outlining the association dues, sign fees, association expenses and total account balance on the ledger to date for inclusion in the meeting records. The committee members present were pleased with the progress in collections of fees for the sign replacement project. It was further discussed that with only two weeks left until the target date of April 1 to have all the dues collected, that a reminder note should be sent out to those homeowners that have not paid their sign replacement fee.
- Nick Melchert will draft a reminder letter and send it out to
each of the homeowners that have not paid. The letter will
include wording indicating that the committee will be
contacting them via telephone or at their doorstep during
the final week of March if their fee remains uncollected.
This is to be done as soon as possible in order to try and
meet the April 1 target date.
- Nick will also draft a reminder letter to the 4-5
homeowners that have not paid their September 2006
association dues. This will also be done as soon as
possible.
2. Discuss and decide on colors for the sign. Finalize design.
There was a unanimous consensus among the committee members present that the background color for the Eaglewood Sign should be one of the burgundy shades shown in the designs provided by Harmon Sign. The committee discussed several options for the lettering and the eagle design that will be incorporated in the sign. Emily had photocopies of the sign and made notes on several different copies with color options discussed during the meeting. Harmon sign will be contacted to produce new printouts showing the sign with burgundy background and lettering in either an off-white color (matching the sign structure color) or gold lettering. It was also decided that a copy should also be produced with a black background and gold lettering for comparison and consideration. Some possible color options for the eagle were discussed, with committee members leaning toward a gold color eagle, with possibly a different color inside the ring that circles the eagle. It was discussed that Harmon sign should provide some creative coloring ideas for the eagle design as well so the color options can be finalized during the April meeting.
3. Date to start sign installation
The committee discussed when the sign installation should be started. A review of previous meeting notes indicated that Scott from Harmon Sign had discussed a total turnaround time from the order date to completing the project would be approximately one month. Further review of the notes indicated that the landscaper suggested plantings for the re-landscaping be done as early as possible in May in order to give the plants their best chance to grow successfully this summer.
Considering the above, it was decided that the sign should be
ordered by April 15th, projecting a completion date around May 15th, so that landscaping can begin in early to mid May.
4. Discuss the idea of posting a sign thanking the neighborhood
for voting for the new sign.
Emily advised that she and Nick had previously talked about putting out a sign or signs thanking the Eaglewood community for voting for the sign project. Emily asked Pat Brady if Andrea Brady would be willing to make two thank you signs – Pat indicated that he would “volunteer” her. One of the signs will be posted near the neighborhood entrance on the islands and the other at the north end in the McCoy’s yard.
5. Discuss the idea of posting a “thermometer” sign to
report the progress in collecting the sign fees and for later use when collecting association dues.
Emily advised that she and Nick had also previously talked about putting out a “thermometer” type of sign to show the progress toward collecting the sign fees. The sign would serve the purpose of reminding and motivating those homeowners that have not paid their dues. Nick will look into making the sign and getting it posted as soon as possible in conjunction with the mailing of the reminder letters.
6. Nick Melchert and Patrick Brady have started blogs to
discuss Eaglewood News.
Emily announced that both Nick Melchert and Patrick Brady had put together web logs to announce Eaglewood news and support the neighborhood association.
Nick’s blog presently contains postings of the Eaglewood Newsletters. As the blog is developed, it may include additional news and happenings. Neighbors are able to post comments on the blog, which can be accessed at:

7. Thank you to everyone who helped take the island
Christmas lights down.
Emily wanted to thank everyone that helped take the island Christmas lights down. John Sundheimer stated that Bill Ludwig took them all down himself Saturday March 10th. A big thanks to Bill Ludwig!
